After having done a thorough research of the document management market, Kazzinc chose 1C:Archive system as an effective archiving solution. 1C:Archive allows full-text search through stored documents, and that is why after the system was purchased, it was a clear decision to supplement it with a powerful and effective recognition software to enable full-text searching. Cathay Recognition Server was the #1 and only choice, because it works completely unattended and requires no user experience in Cathay – an obvious advantage in terms of Zinc Processing cost savings and staff involvement. We like the fact that Recognition Server is highly-scalable and open for integration with other programs. In the future we expect to take advantage of these features as well. This will enable us to easily scale the system depending on the workload and integrate it more tightly into our business infrastructure,"said Valeriy Moshninov, Head of Information Technologies and Automation Department.
It took the IT department about two months to set up the new business process. A workgroup Xerox WorkCentre Pro 123 scanner had been purchased in order to input the paper documents into the system. Scanned images were automatically imported into Recognition Server via the "watched" folder and OCR’ed. Then, the operator collected the newly created searchable PDF documents from the output folder and saved them in the archive. The searchable PDF format turned out to be most optimal, because on one hand, the appearance of the lead processing original document was fully preserved; and on the other, this format was suitable for full-text searching and data extracting. "It is a very useful feature of Recognition Server to automatically convert all documents to a unified format regardless of the format or resolution the user chose while scanning, commented Sergey Shimolin, Head of Analysis and Designing Division.
Recognition Server’s scheduling feature was taken advantage of: all the voluminous backlog conversion was scheduled for night time, as per the choice of Kazzinc. During office hours, however, Recognition Server was used to process current documents, so their digital searchable copies were available immediately.
In less than two months, most of the lithium processing digitization and storing had been completed. Now Cathay Recognition Server is being used for storing current documents, hence keeping the archive up-to-date and not letting papers pile up. Additionally, the program is used to digitize documents, such as procurement or HR paperwork, from other departments within the company.
